Optimize Personnel Processes through automation of the human resources correspondence

A very important single HR topic crystallised relatively quickly in the support of our clients during the process and management consultancy as being highly cost-intensive. Almost 80 per cent of all HR processes result in one or more documents in the form of contracts, certificates, correspondence letters or forms!
A closer look at the document-related processes revealed that there are no or only insufficient possibilities for context-related correspondence automation of the processes within SAP systems for the individual sub-facets "template management, document creation and archiving" with the established tools "SAPScript / SmartForms" and MS Word. In addition, the creation and provision of document templates is rather deficient and has gaps. The Adobe functionalities (SAP-Adobe integration) also only provide a partial solution in the form-based process design in the common correspondence of HR departments.
It is therefore very important for novamusHR01 to include a usable supplementary product, which is established on the market in the long term, in the solution pool. The user-friendliness for the HR manager was just as important to us as the IT infrastructure required for the supplementary product, which must be easily embedded in an existing SAP ERP HCM infrastructure and/or SuccessFactors.

After a very intensive market analysis, our attention fell on Accenture's Quick Document Builder (AQDB), among others.

When it comes to the efficiency of human resource management, fast, accurate and reliable business processes are always expected - especially in the organisation of correspondence with employees.

Regardless of whether human resources are organised decentrally or centrally, a high degree of flexibility and transparency is needed to efficiently create and process the daily flood of personnel correspondence. Once a document has been created, it often has to go through a number of further processes before it is finally delivered to the employee. This process is time-consuming and often has to be done manually. Capacities of qualified HR administrators are disproportionately tied up for these recurring routine tasks. In a company with 10,000 employees, the creation of only two individual documents per employee, with an average processing time of 15 minutes per document, costs approximately 5,000 hours of time that could be used for more demanding HR management tasks.

Accenture Quick Document Builder (ADQB) automates the creation and control of correspondence and documents, increasing the productivity and cost-effectiveness of business processes and helping organisations on their path to high performance.
The AQDB enables users to create, manage and use templates and text modules using existing master data and metadata directly from an SAP ERP HR system or/and SuccessFactors. By simplifying and standardising the creation process, time and cost savings can be achieved that are directly reflected in a company's bottom line.

  • High user-friendliness when creating and editing document templates through the familiar Microsoft Word environment
  • Generate documents through a secure, verifiable and comprehensive process, including history and log, and Easy, quick-to-use document generation: Reduce training requirements by using widely available word processors such as Microsoft Word
  • Reduction of total cost of ownership: ADQB runs on SAP NetWeaver and is compatible with leading SAP ERP systems or/and SuccessFactors
  • Automation and integration of data: Relevant personnel data (e.g. name, date of birth) are made available when the personnel number is entered
  • Out-of-the-box functionality: Pre-configured data fields that take content from SAP ERP and SuccessFactors, expandable with company-specific data fields
  • Quick implementation: Templates and text modules are created with Microsoft Word. This makes functions such as spell checking and document formatting available to every user. Programming knowledge is not required
  • Effective content management: A central library stores and manages the templates in the SAP system. A standardised archive interface enables long-term archiving on all digital personnel file solutions
  • It is made possible to check data immediately during processing without having to export sensitive personnel data from the system. Data security is significantly increased
